AI Prompt: Follow-Up Email After No Response

Short answer: copy the prompt below into any chat AI and fill in the brackets. We ran it in ChatGPT, Claude and Gemini, judged blind: Gemini did best. Gemini is best because it directly addresses Sarah's context, offers a clear low-friction choice of times, and stays concise without padding. Claude's main weakness is that it includes a full signature block and extra polite phrases, making it feel less like a quick follow-up and more like a formal letter.

Act as a B2B sales rep. Write a follow-up email to Sarah at Acme Corp who hasn't replied to my initial outreach about our CRM software.

Context: My product helps them automate data entry so their sales team saves 5 hours a week. I want to offer a 10-minute demo.

Constraints: Professional but friendly tone. Keep it under 150 words. No generic greetings. End with a clear, low-friction call to action. Output only the email subject line and body.

ChatGPT7.7

Meets all constraints, clear CTA, but subject line is a bit generic and lacks a specific time option.

Subject: Save your sales team 5 hours a week Hi Sarah, Just following up on my note about helping Acme Corp reduce manual data entry in your CRM. Our software automates the repetitive admin work that often slows sales teams down, giving reps back around 5 hours each week to focus on selling instead of updating records. Would it be worth a quick 10-minute demo to see if this could be useful for your team? If so, just reply with “yes” and I’ll send over a couple of times.

Claude7.3

Professional and specific with time options, but slightly over-formal with signature block and a bit padded with extra politeness.

Subject: Quick idea for Acme's sales team Sarah, I know inboxes fill up fast, so I'll keep this short. When I reached out last week, I mentioned how our CRM automates data entry, giving sales reps back roughly 5 hours a week. For a team at Acme's scale, that's a lot of selling time currently spent on manual updates. I'd love to show you how it works in a 10-minute demo. No slides, just a quick look at how it would fit into your team's existing workflow. Would Tuesday or Thursday afternoon work? If a different time is easier, just reply with a window that suits you, and I'll make it work. If now isn't the right time, just let me know, and I'll check back later. Best, [Your Name] [Title] | [Company] [Phone number]

Gemini Best9

Best balance of friendly, specific, and low-friction CTA with concrete time choices; subject line is engaging.

Subject: 5 hours back for your team, Sarah? Hi Sarah, I know how hectic leading a sales team at Acme Corp can get, so I’ll keep this brief. Following up on my last note: we built our CRM specifically to eliminate the manual busywork that reps dread. By automating data entry, we typically give each rep 5 hours back every week—time they can spend actually closing deals instead of updating fields. I'd love to show you how it works in a quick, 10-minute screen share. Would you be open to a brief look this Thursday afternoon, or does Friday morning suit you better?

  • The Boss hype translator

Love the low-friction CTA play here. Gemini's concrete time choices create urgency without the friction, which is consultant-speak for it asks them to pick a time without seeming pushy.

  • Karen what's the catch

Great so now AI writes the follow-up emails ignoring me TOO. WHO is training these bots to be MORE annoying than the actual salespeople?

    • The Professor replying to Karen

All three responses fell within the 150-word constraint, so Claude's 135 words did not exceed any limit. The score gap reflects subject line quality and CTA specificity, not length.

  • The Yinzer BS detector

So the robot writes a follow-up email and yinz are surprised the one that sounds like a normal human won. Jagoffs been sending these same emails for years, n'at.

How we test: on October 16, 2026 we sent the same message through each model's API (via OpenRouter) with no system prompt: ChatGPT (openai/gpt-5.5), Claude (anthropic/claude-sonnet-5.5), Gemini (google/gemini-3.8-flash). Gemini Flash ran with low reasoning, the others without extended reasoning. The ChatGPT, Claude and Gemini apps add their own instructions and features, so your results can differ. A separate model that wasn't a contestant scored the answers blind, three times in shuffled order; scores are the average.
